Privacy Policy

Last updated: February 2026

Greenodd and Pennybridge Institute (“we”, “us”, “the Institute”) respects your privacy and is committed to protecting any personal information you share with us. This policy explains what information we collect, how we use it, and your rights regarding it. It applies to our website greenoddvillagehall.co.uk and to communications with our volunteer trustees.

1. Who We Are

Greenodd and Pennybridge Institute is a registered charity in England and Wales (Charity No. 220389). Questions about this policy can be sent to info@greenoddvillagehall.co.uk.

2. What Information We Collect

  • Contact information you provide. When you email us to make an enquiry, book the hall or ask a question, we receive your email address, any name you share, and the contents of your message.
  • Booking details. For hall bookings we also keep a record of the booking date, the purpose of hire, and any payment or deposit information needed to administer the booking.
  • Basic website information. Our hosting provider may log standard technical data such as IP address, browser type and pages visited, for security and reliability purposes.
  • Cookies. This site uses only essential cookies required to load the pages. We do not use advertising or tracking cookies.

3. How We Use Your Information

  • To reply to your enquiry.
  • To administer a hall booking, including invoicing, deposits and access arrangements.
  • To keep proper records in line with our duties as trustees of a registered charity.

We will never sell your information. We will not share it with third parties for marketing purposes.

4. Legal Basis (UK GDPR)

We process personal data on the basis of your consent (when you write to us), on the performance of a contract (when you book the hall) and on our legitimate interest in running a safe, well-administered village hall.

5. Data Retention

We keep booking records for as long as is necessary to fulfil the hire and to meet our legal and charitable record-keeping duties. General correspondence is kept only as long as is needed to respond to your message. You may ask at any time for your details to be deleted from our records, where the law allows.

6. Your Rights

Under UK GDPR you have the right to:

  • Ask what information we hold about you.
  • Ask us to correct inaccurate information.
  • Ask us to delete your information.
  • Object to or restrict our processing of your information.

To exercise any of these rights, email info@greenoddvillagehall.co.uk. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk).

7. Security

We take reasonable technical and organisational measures to protect your information. Our site is served over HTTPS, and access to correspondence and booking records is limited to the trustees and booking secretary.

8. Links to External Sites

Our website may occasionally link to other websites (for example, the Charity Commission register). We are not responsible for the privacy practices of those other sites.

9. Changes to This Policy

We may update this policy from time to time. The “last updated” date at the top of this page will always reflect the current version.
